How to Set Up WhatsApp Business API in India (Step-by-Step 2026)

What You Need Before You Start

Setting up the WhatsApp Business API used to require a Meta Partner and weeks of waiting. With Waptrix, you can do it yourself in under 30 minutes. Here's what you need:

  • A Facebook Business Manager account (free at business.facebook.com)
  • A phone number that is NOT already registered on WhatsApp (personal or business)
  • Business details: name, address, website, category
  • An Indian business (or a business operating in India)

The phone number you use must not be registered on WhatsApp already. If it is, you'll need to delete that WhatsApp account first.


Step 1: Create a Facebook Business Manager Account

Go to business.facebook.com and sign up. Enter your:

  • Business name (as it appears on legal documents)
  • Your name
  • Business email address

Verify your email and complete business verification. This involves uploading a business document (GST certificate, shop registration, or utility bill in your business name).


Step 2: Create a WhatsApp Business Account (WABA)

Inside Facebook Business Manager:

  1. Go to Business Settings → Accounts → WhatsApp Accounts
  2. Click AddCreate a WhatsApp Business Account
  3. Name your WABA (this appears to customers as your display name)
  4. Accept the WhatsApp Business terms of service

Step 3: Add Your Phone Number

  1. Inside your WABA, go to Phone Numbers → Add Phone Number
  2. Enter the number you want to use for WhatsApp Business
  3. Choose verification method: SMS or Voice call
  4. Enter the 6-digit verification code

Your number is now verified and connected to the WhatsApp Business API.


Step 4: Connect to Waptrix

  1. Sign up at app.waptrix.in
  2. Go to Settings → Connect WhatsApp
  3. Click Connect via Meta — this opens Meta's OAuth flow
  4. Select your Facebook Business Manager account
  5. Select the WABA you created in Step 2
  6. Select your phone number
  7. Click Authorize

Waptrix automatically subscribes your WABA to the necessary webhooks and imports your phone number settings.


Step 5: Create Your First Template

Before you can send bulk messages, you need at least one approved template.

  1. Go to Settings → Templates in Waptrix
  2. Click New Template
  3. Choose category: Marketing, Utility, or Authentication
  4. Write your template body. Use {{1}}, {{2}} for variables
  5. Add a header image if needed
  6. Add buttons (Quick Reply or URL)
  7. Click Submit to Meta

Meta reviews templates within 24 hours. You'll receive an email when approved.


Step 6: Import Your Contacts

  1. Go to Contacts in Waptrix
  2. Click Import CSV
  3. Upload your contacts file with columns: name, phone, email (optional)
  4. Map the columns
  5. Create a Segment to group contacts (e.g., "Mumbai Customers", "VIP buyers")

Make sure every contact has explicitly opted in to receive WhatsApp messages from you.


Step 7: Launch Your First Campaign

  1. Go to Campaigns → Create Campaign
  2. Select your approved template
  3. Select your contact segment
  4. Set send time (now or scheduled)
  5. Click Launch

Common Setup Mistakes to Avoid

Mistake 1: Using a number already on WhatsApp

You'll get an error during verification. Delete your existing WhatsApp account on that number first (Settings → Account → Delete My Account).

Mistake 2: Business name mismatch

Your WABA display name must match your business name. Meta rejects names that look like spam.

Mistake 3: Skipping Business Verification

Without Business Verification, you're stuck at Tier 1 (1,000 messages/day). Complete verification to unlock higher limits.

Mistake 4: Using prohibited template language

Marketing templates can't contain certain phrases. Read Meta's template guidelines before writing.
